What data we collect

Patients’ personal data: name, date of birth, NHS number, contact details, medical information (where provided to us by your GP practice).
Staff and contractor data: employment details, training records, payroll information.
Client contact data: names, roles, phone numbers, email addresses for practice staff and managers.
Why we collect data
We process personal data for the following purposes:
To provide safe and effective support services to GP practices and their patients.
To manage staff and contractors for HR, payroll, and compliance purposes.
To manage client relationships and contracts.

We process data under the following lawful bases:
Contract: to deliver services agreed with GP practices and PCNs.
Legal obligation: to comply with NHS and employment law requirements.
Legitimate interests: to manage our business operations securely and effectively.
Consent: in limited circumstances (e.g. optional marketing communications).
Who we share data with
The GP practices and NHS organisations who are the data controllers for patient information.
Our secure IT service providers (e.g. NHS-approved VPN, Google Workspace, Monday.com).
HMRC and pension providers (for staff).
Regulators, if required by law.
We never sell personal data.
How long we keep data
Patient data: 7 years, in line with NHS Records Management Code of Practice.
Staff data: 6 years after leaving PCS.
Client/business data: 7 years after contract end.
How we protect data
Role-based access (only those who need to see information can do so).
Encrypted systems and secure NHS connections.
Ongoing staff training in data security.
Your rights
You have the right to:
Ask for a copy of your data.
Request corrections or deletion.
Limit or object to how your data is used.
Make a complaint to the ICO if you are not satisfied with how your data is handled.
