8. How long we keep information
PCS keeps website information only for as long as it is reasonably needed for the purpose for which it was collected. Where a fixed period is not appropriate, we use the criteria below to decide when information should be deleted, anonymised or moved into another governed record.
- Service enquiries
- Kept while the enquiry and any related commercial discussion are active. Afterwards, retention is based on whether the information is needed to evidence the discussion, manage a resulting business relationship, meet legal and accounting requirements, or handle a dispute.
- We keep enquiry details for 12 months from our last contact with you, then delete them.
- Applications for current opportunities
- Kept for the recruitment process, and afterwards for only as long as reasonably necessary for recruitment administration, audit, legal claims or record-keeping. Unsuccessful applicant information is then deleted or anonymised unless there is a separate reason to retain it.
- We keep application details for 6 months after the vacancy closes, then delete them, unless you join us.
- Expressions of interest for future opportunities
- Kept while PCS has a genuine recruitment purpose for considering the applicant for future roles. Candidate-pool information is reviewed periodically and removed when it is no longer relevant, or when the individual asks us to delete it, subject to any overriding legal requirement.
- Successful applicants
- Relevant recruitment information may move into the appropriate workforce or personnel record, and will then be governed by the retention rules for that relationship.
9. Your information rights
Your rights depend partly on the lawful basis used, but may include the following.
- Access
- Ask for a copy of the personal information PCS holds about you.
- Rectification
- Ask us to correct inaccurate or incomplete information.
- Erasure
- Ask for deletion where the legal conditions for erasure apply.
- Restriction
- Ask us to restrict processing in certain circumstances.
- Data portability
- This may apply to certain information processed on the basis of contract and by automated means.
- Complaint
- Raise a data-protection complaint with PCS, or complain to the Information Commissioner's Office.
